About the role

We're on a mission to transform documents the way the cloud transformed software — with a Smarter Document platform that brings AI, real-time connectivity, and end-to-end security to the enterprise. Founded by a winner of the Shaw Prize (the "Nobel Prize for Mathematics") and a Hebrew University Computer Science professor, Factify is backed by a strong seed round and a world-class team of company builders, engineers, and visionaries. We're moving fast, and we need a sharp, resourceful Office Manager to help us scale. As our Office Manager, you'll be the operational backbone of Factify's hub — the person who makes sure everything just works, so our team can focus on building something extraordinary. You'll work closely with our CEO, Head of OPS and touch everything from day-to-day office operations to employee experience and vendor relationships. What you'll own Keep our office running smoothly — facilities, supplies, inventory, and anything in between. Manage vendor relationships and own the procurement process end-to-end. Handle invoicing and coordinate with finance for expense tracking and approvals. Plan and execute employee experience events — team offsites, happy hours, holiday celebrations, and everything that keeps our culture thriving. Coordinate international travel logistics — flights, hotels, visas — for team members and leadership. Work as a true partner to the CEO: manage ad hoc requests, support scheduling, and help prioritize what matters. Own onboarding logistics for new hires — desk setup, equipment, welcome kits.Identify friction in our internal operations and build lightweight processes to eliminate it.

Requirements

  • 3+ years in an office management, operations, or executive assistant role
  • Startup experience is a big plus.
  • A "get things done" attitude — you don't wait for a playbook, you write one.
  • Highly organized, reliable, and detail-oriented, with the ability to juggle multiple priorities under pressure.
  • Strong communicator in both Hebrew and English — written and verbal.
  • Comfortable with ambiguity and excited by the pace of an early-stage company.
  • People-first mindset — you care about the team's wellbeing and show it.
