Position Overview
We're looking for an energetic, positive, and highly organized Office Manager who loves helping people, creating order, and making things happen. This is a hands-on role combining office management, employee experience, and executive support, where no two days look the same.
You'll work closely with the CEO, leadership team, and employees across the company, ensuring our office runs smoothly while creating an exceptional employee experience. You'll play a key role in shaping our day-to-day culture and be the go-to person employees can always rely on. We're looking for someone with a strong sense of ownership, outstanding interpersonal skills, and a proactive mindset - someone who takes initiative, solves problems before they become issues, and enjoys supporting others with a genuine service mentality.
Role & Responsibilities
Office Management & Operations
Manage the day-to-day office operations and logistics
Handle office-related orders and coordinate with suppliers and service providers
Track and manage invoices in coordination with the Finance team
Maintain organized documentation and vendor records
Follow up on payments and ensure timely service delivery
Continuously identify opportunities to improve office processes and operational efficiency
Personal Assistant to the CEO
Provide comprehensive administrative and personal support to the CEO (professional and personal matters)
Arrange domestic and international travel (flights, hotels, itineraries)
Handle personal orders and administrative arrangements
Manage confidential and sensitive matters with the highest level of discretion
Support ad-hoc tasks and shifting priorities in a fast-paced environment
Employee Experience & Culture
Plan and execute employee experience initiatives, including happy hours, company events, celebrations, and wellness activities
Own the employee welfare budget, including planning, tracking, and ensuring effective budget management
Coordinate onboarding logistics, including equipment, welcome gifts, and first-day experience
Partner with internal teams to ensure a seamless and engaging employee experience
Help create a positive, welcoming, and well-organized workplace that employees genuinely enjoy being part of
